Each year, Valley Outreach completes an annual inventory of our food and clothing programs at the close of our fiscal year in September. While it may sound like simple counting, this process is critical: it ensures that what we report matches what we actually have on hand. By carefully reconciling our resources, we confirm that the food and clothing we purchase, the donations we receive, and the items we distribute are all tracked accurately. This verification also ensures the value reflected on our annual IRS 990 form is correct and reliable.
At the same time, inventory reflects our broader commitment to accountability and stewardship. We show clients, donors, volunteers, and the community that we manage their support with care and transparency.
Why Inventory Matters
Annual inventory is an essential part of being good financial and operational stewards. It’s not only about compliance—it’s about maintaining trust. By making sure our records align with reality, we provide confidence that every contribution is valued and used responsibly. Inventory also helps us identify trends, anticipate seasonal needs, and keep programs running smoothly year-round. To complete this work thoroughly, we temporarily adjust our programs so staff and volunteers can give it their full attention.

To complete the annual inventory efficiently and accurately, certain programs and services will be temporarily closed:
- StyleXchange & clothing donations: Closed Sept. 22–28
- All programs & donations: Closed Sept. 29–30
We know these closures may cause some inconvenience, and we deeply appreciate the patience and understanding of everyone in the community. These temporary adjustments are necessary to ensure our programs remain reliable, well-stocked, and ready to serve all year long.
